What You'll Need
To add a new ADF email feed, you'll typically need:
The Email Address where your ADF leads are being sent.
Information about the Preferred Sender email address for these leads.
The specific Subject Line used in these lead emails (or a recognizable part of it).
Note: Configuring how the data inside these emails is processed and mapped in your portal is done separately in the ADF Template settings. We'll mention this later.
Adding Your ADF Feed
Follow these steps to add a new ADF email feed configuration:
Log In and Navigate:
Log in to your AVA™ portal.
Click on "Integrations" in the main menu.
Select "Outbound".
Initiate Adding ADF:
On the Outbound Integrations page, find the "ADF" option.
You should see an option to "Add ADF"
Enter Email Feed Details:
On the "Add ADF" screen, fill in the following fields based on the lead emails you receive:
Email: Enter the email address that receives your ADF lead emails.
Preferred Sender: Select or enter the email address that typically sends these ADF leads. This helps the system identify the legitimate lead emails.
Subject Override: Enter the specific subject line of the lead emails, or a unique phrase from it. This acts as a filter to ensure the system only processes relevant emails. For example, if subjects are "NEW ADF AVA Credit Score (Prime)", enter that exact phrase.
Advanced Delivery Rules (Optional):
You'll see a toggle for "Advanced Delivery Rules." If your setup requires specific routing or conditions for these leads beyond the basic configuration, you can enable this.
Add the Feed:
Once you've filled in the details, click the "Add" button at the bottom of the form.
Connecting to Your ADF Template:
Adding the email feed configuration tells the portal where to look for incoming ADF emails. However, to ensure the information within those emails (like customer name, vehicle details, etc.) is correctly captured and mapped to your portal's fields, you'll need to configure the ADF Template.
After adding your ADF feed here, navigate back to the main ADF integration settings.
You should now see your newly added feed listed.
Click on the feed or an "Edit Template" option associated with it to configure the Trade ADF Provider Name, Trade ADF Provider Service, Credit ADF Provider Name, and Credit ADF Provider Service, and set up the field mapping for this specific email feed source.
Troubleshooting:
Leads not being received:
Double-check that the Email, Preferred Sender, and Subject Override are entered exactly as they appear in the incoming ADF emails.
Confirm with your ADF provider that emails are actively being sent to the specified email address.
Ensure your email server isn't blocking or filtering these incoming lead emails.
Leads received, but data is incorrect or missing:
This indicates an issue with the ADF Template configuration. Go to the ADF Template settings for this feed and review your field mapping to ensure the data from the email is being correctly assigned to the fields in your portal.
What Happens Next?
With your ADF email feed added and the corresponding ADF Template configured, your AVA™ portal is now set up to automatically receive and process leads from that specific email source.
